Mobility Overview

First of all, your university should send an official nomination to: incoming@upjp2.edu.pl , so we can send you all information about the procedure. 

After nomination create your personal account in the IRK system and select the appropriate type of recruitment (short guide available at the end of this section or HERE). All details and photo will be used to create your access to university internal system USOS and Office 365

At the same time you need to send documents such as: 

  • Application form (available HERE)
  • Learning Agreement for Study signed and stamped by you and your home university with the list of proposed courses chosen by you and accepted by your university (with codes of the courses, ECTS number and semester when each course takes part)
  • Transcript of Records duly signed and stamped by your university (jpg or pdf file) - this is a document (with stamps and signatures of the authorities of your university), which proves your marks and grades collected so far at your Home University
  • EHICH (European Health Insurance Card)

Once your application has been confirmed, the administration will verify the accuracy of your details and forward your application to the exchange coordinator.

The Welcome Days are addressed to all incoming students taking part in a mobility programme (Erasmus+ for Studies, Bilateral Agreements, CEEPUS). Students are introduced to the University and the city of Cracow and provided with all the information needed to ensure a great and fruitful stay at UPJPII. The Welcome Days take place at the beginning of each semester. The events are organized by the International Office of UPJPII.

Learning Agreement

All exchange students must always update their Learning Agreement (LA) and have it corresponding exactly to the course units they attend at UPJPII. It is important to know that there is no automatic connection between the LA and Moodle, the LA and MS Team. If you change your LA you will have to report the same changes on your study plan in UPJPII and vice versa.

It is the document stating the course units you are going to attend at our University in substitution of the course units you would have attended at your Home University.

You have to choose courses relevant for the program you are attending as well as in line with your previous studies. List of courses is available HERE.

Your Learning Agreement has to be signed first by you and by your home university coordinator. The Erasmus coordinator at UPJPII will sign it after you have completed the all procedure. Note that The Learning Agreement will be accepted only if it has been signed both by you and your home university. Your coordinator at our University will sign it after you have submitted your application.

Yes, you may. After successful completion of the Polish Language course, you will obtain 6 ECTS.

  • Students should also take into consideration that changes concerning courses may occur. The University reserves the right to cancel or modify any courses due to unforeseen circumstances.

  • In case there is a need to introduce changes to the original mobility programme, students should complete the “during the mobility” part of the Learning Agreement (page 3). The section completed before the mobility should be kept unchanged. The appropriate form can be downloaded here » 

  • Changes to the Learning Agreement should be filled in (including course codes and number of ECTS), signed by a student, or departmental coordinator at UPJPII, then delivered to the International Office of UPJPII or send via email address at erasmus@upjp2.edu.pl

  • The deadline is 2 weeks after the semester starts (the latest 4 weeks after the beginning of the semester).

  • You can also deliver Changes to Learning Agreement on the form of your Home University.

After arrival

  • Ensure that you are enrolled correctly by following the course structure on the USOS account. If not, it is recommended to amend your enrolment to align with the advised course structure.
  • A course is sometimes taught to more than one group, and therefore at more than one time in a week. If this is the case for one of the courses that create an overlap in your schedule, you can, if this is organisationally possible, ask to take these lessons at a different time and consequently to join another group.
  • If the courses for which you are experiencing an overlap are only taught in one group and at the same time, no solution can be offered.
  • Check that there are no alternative times available for the clashing units. Write directly to the professor of chosen classes. 
  • Clashes between two classes where attendance is compulsory cannot be resolved (e.g. practicals, tutorials, seminars, workshops, language classes).
  • If your clash is between two core units, you may wish to select another unit that is available to you on your study plan.
  • You can partially attend both courses (in this case, it’s better if you inform the professors).
  • You can drop one course and change it for another (you will have to change your Learning Agreement - part During the Mobility in LA - ask your Home University for a Draft).
  • For any other options, you can contact the professors directly and ask them for solutions. The best opinion is to write them an email or go to their office hour. Office hours you will find directly in USOS, section 'Directory'.

As the international office, we cannot change the Faculty timetable of classes, therefore please ask directly professors for solutions. The contact email for any professors at our University you will find in USOS. 

At UPJPII, attendance is mandatory for all English courses. The standard class duration is 45 minutes. When you have “a 2-hour” class on the same day, the Professor will tell you how they want to manage the total time: they could do 1h30 with no interruptions, they could start later, or they could take a break between the 2 “hours”.

In Polish universities exams may be written or oral, they may be at the end of the classes or you may have to pass some tests during the course. Final exams may also be composed of more than one test (ie: a written test and an oral exam). For some of you, oral exams may be unusual: they consist of a sort of interview, where the professor will ask you a few questions about the course. They usually last around 20 minutes. For each course, in each exam session, you can choose from two exam dates.

  • The Professor will say when exam will be during the first class
  • You can search for the Exam on your USOS account
  • You can search on the Department's website
  • You can ask your fellow students in classes
  • If you need to get in touch with the Professor responsible for a course unit, you need to know where to find their contact information and how to address them.
  • You can search for their surname in the search field of the online course catalogue in USOS, you will see all the classes they teach and if you click on their name you will land on their personal page reporting all the info: email address, office address, office hours, etc.
  • When you address Professors, remember that in Italy we tend to be pretty formal in this kind of relationship (unless it’s the Professor that tells you differently): don’t call them by their first name and always use the title (ie: “Dear Professor Hołda”, not “Dear Miłosz”). And if you are writing or speaking in Polish, use the courtesy form (“Him/Her”).
  • You should always introduce yourself when you send an email, signing with your full name and possibly with your student ID number (“ER123”).

  


    

Certificate of attendance, exams, and transcript of records

The Transcript of Records is the list of grades you received at University. At the end of each semester and upon participation in the exams, all Erasmus+ exchange students will need to get their Transcript of Records (issued solely by the Secretariat of their Department) and their Certificate of Attendance (issued by the IRO) - After Mobility Part of the Learning Agreement. The Certificate of Attendance can only be given by the International Cooperation Office [ICO] before departure. If a student leaves Cracow before getting their grades, they need to make sure they have a contact person for any issues that may arise.

You can upload your grades in USOS or write directly to professors.
